The Medical Assistant is an essential member of our luxury medical spa team and is responsible for supporting providers, assisting with patient care, maintaining treatment room readiness, and ensuring a clean, organized, and elevated patient experience. The ideal candidate is proactive, detail-oriented, dependable, and takes ownership of their environment. This position requires someone who naturally anticipates what providers and patients need, maintains high standards of cleanliness and organization, and understands that every detail contributes to the overall luxury spa experience. Essential Responsibilities Treatment Room Readiness & Supply Management Ensure all treatment rooms are fully stocked, organized, clean, and treatment-ready each day. Check rooms regularly to ensure providers have all necessary supplies and equipment for scheduled treatments. Restock linens, disposables, PPE, treatment supplies, back-bar products, and other necessary items throughout the day. Monitor inventory levels in treatment rooms and communicate supply needs promptly. Maintain organized cabinets, drawers, countertops, and spa supply areas. Ensure personal belongings are appropriately stored and do not interfere with the patient environment. Proactively prepare rooms for upcoming appointments based on the day’s schedule. Patient Assistance & Clinical Support Assist with patient preparation before treatments as directed by the provider and established protocols. Assist with topical numbing when appropriate and permitted by provider direction, training, and applicable regulations. Take standardized before-and-after patient photographs according to company protocols. Assist with patient positioning, draping, comfort, and preparation. Escort and appropriately room patients. Provide professional, compassionate, and attentive patient support throughout the visit. Assist providers with treatment setup and supplies as needed. Treatment & Room Turnover Prepare treatment rooms for scheduled procedures and services. Efficiently turn over rooms between patients. Replace linens and disposable supplies between appointments. Clean and disinfect treatment surfaces and equipment according to established infection-control procedures and manufacturer guidelines. Ensure treatment rooms are fully prepared before the next patient arrives. Assist providers with treatment setup and breakdown for services within the Medical Assistant’s permitted scope and training. Cryotherapy & Infrared Pod Support Assist with patient preparation for cryotherapy and infrared pod appointments. Prepare treatment areas before and after each appointment. Ensure cryotherapy and infrared pod areas are clean, organized, and properly stocked. Assist patients with preparation and post-treatment procedures according to established protocols. Maintain appropriate cleanliness and presentation of these treatment areas. Report equipment concerns or supply needs promptly. Cleanliness, Housekeeping & Linen Coordination Maintain the cleanliness and presentation of treatment rooms throughout the day. Maintain a consistently elevated, luxury-level environment for patients and providers. Communicate with housekeeping regarding linen needs, room cleaning, trash removal, and other facility needs. Monitor the availability of clean sheets, towels, blankets, gowns, and other linens. Address cleanliness or organization issues immediately. Assist with maintaining common clinical and spa areas when necessary. Equipment & Device Care Clean and maintain treatment devices and equipment according to manufacturer and company guidelines. Ensure equipment, handpieces, cords, accessories, and supplies are properly stored. Complete assigned equipment readiness and cleaning checks. Report damaged, malfunctioning, or missing equipment immediately. Maintain devices in a clean, organized, and patient-ready condition. Qualifications Medical Assistant certification preferred. Previous experience in a medical spa, dermatology, plastic surgery, aesthetics, or similar clinical environment preferred. Strong attention to detail and organizational skills. Excellent communication and interpersonal skills. Professional appearance and demeanor. Ability to work efficiently in a fast-paced environment. Ability to prioritize tasks and proactively identify what needs to be done. Dependable, team-oriented, and willing to assist wherever needed. Commitment to maintaining a high standard of cleanliness, organization, patient care, and hospitality.
